Information Manager
Aperture is a visual system designed to link various databases with
graphic presentations.
Aperture tracks the measurement of our buildings, floors, departments
and office spaces.
It also allows for simplifying space reconfigurations and analyzes
space use efficiencies
using a variety of criteria.
The project is a visual system for managing information relating
to:
Space Management
Personnel Management
Equipment Management
Furniture management
JACHO non-Compliance issues etc.
The graphic component gives a clear picture of how space is utilized
Aperture is used for Space management committee and through Aperture,
standard presentations and reports are used and modified to meet
our organization’s demanding and ever changing needs.
Here is an example of how the 6th floor (building 5) is represented
in Aperture.
Each department is represented using a different color and there
is also information about different layers: Room#, Room type and
Department name etc, depending on which layer is turned on at a
certain time.

Aperture provides great flexibility for displaying and summarizing
information in any format and sequence needed for various space
related needs. Aperture is an on-going project and it will be a
valuable management tool going forward with many more uses than
is presently described.
Building 5 (the new building) and building 4 (Kolb) have all the
drawings and data entered in the system. Old PI (building 1) and
off site locations will be added in the future.
Aperture became also a very valuable tool for JACHO. During PI’s
2001 evaluation, all the existing and new Statement Of Conditions
(SOC) NON Compliant issues 2000 were represented graphically by
Aperture including respective symbols and reference numbers. This
data was attached to matching fields an external from Microsoft
Access database, used by the engineering department.
Aperture scripts and stylizers were developed and customized to
reflect all the SOC (Statement Of Conditions) NON compliant completed
issues in green color and the uncompleted SOC NON Compliant issues
in red color, by completion date and reference number, in order
to better reflect the JACHO SOC (Statement of Conditions) issues.
This was done for all the floors 1 to 6th floor, S and P levels.
An expected aspect of Aperture use will be to interface with the
Computerized Maintenance Management System (CMMS) in order to pass
valuable information to and from the work order maintenance system.
Other future uses of Aperture will be to continue generating customized
reports for JACHO, OMH, RFMH, construction, projects, telecommunications,
planning moves and changes of space and personnel and also keep
up with all the changes and maintenance requests in our institute,
to give us the most effective cost solution for managing our facilities
and technology infrastructure.
